Job Opening - Coordinator of Communications, Marketing, and Event Planning for Cooperative Council for Oklahoma School Administration


Title:  Coordinator of Communications, Marketing and Event Planning

FLSA Status:  Non-Exempt

Reports To:  Director of Communications and Marketing and CCOSA Executive Director


Performance Responsibilities:

Communications and Marketing

- Proactively manages and updates CCOSA website content on a timely basis to ensure that links and technology are
  functioning and content throughout the site is current.

- Develops, updates and distributes a professional learning calendar in print and online to members and staff.

- Secures advertising for Better Schools and other advertising opportunities.

- Conducts a timely daily review of media coverage statewide and distributes relevant articles, professional learning
  opportunities and member resources via CCOSA Education Updates.

- Manages and maintains a current media contact list, including education and political reporters for print, radio,
  television and online news sources.

- Generates and posts content on social media that aligns with CCOSA brand and strategic goals.

- Provides proofreading services.

- Develops content for communications and marketing materials as needed.

- Contributes to communications and marketing research, planning, implementation and evaluation.

- Works with Association Executive Directors to plan annual state conferences and events.

Exhibitor, Conference and Seminar Logistics
- Provides audiovisual and technology support for onsite and offsite CCOSA professional learning programs,
  conferences and webinars.

- Creates and maintains current files on sponsors and vendors.

- Develops, distributes and collects order forms and requests for vendors and sponsors.

- Oversees contractor move-in, tradeshow open and tear-down at CCOSA conferences and seminars.

- Obtains current and up-to-date floor plans, exhibitor lists and exhibitor information, and assures that payment for
  services is collected (in collaboration with Business Manager).

- Reviews and requests additional information from exhibitors to meet their AV/technology/space and other needs
  prior to arrival at trade show site.

- Provides onsite customer service for exhibitors.

- Reconciles papework, runs reports and shares with CCOSA leadership.

- Coordinates evaluations and follow-up appreciation for vendors and sponsors.

Physical Demands:

- Physical stamina sufficient to stand during entire event time frame, excluding rest breaks.

- Ability to lift, carry and position items weighing in excess of 40 pounds.

- Ability, on a consistent basis, to communicate effectively with prospective members, partners, stakeholders and
  staff.

- Ability, on a consistent basis, to maintain attention and concentration for extended periods of time.

- Ability, on a consistent basis, to work with a computer, screen and keyboard for extended periods of time.

- Ability, on a consistent basis, to function in a high stress environment.
